Footnotes
Footnotes are notes that are placed on the same page as the reference and enable you to show references as to where the information for a particular comment came from or comment on particular sections of your document. This option can be very useful in providing readers with where to get detailed information on particular comments.
Footnotes are placed into your document in numbered order or using personalised marks.
Inserting a Footnote
- Place the cursor at the insertion point for the Footnote
- From the Insert menu select Footnote
- In the dialogue box that opens you have a choice of Footnote or Endnote, Footnote should be already selected, if it isn’t then select it.
- If you want your footnotes to be numbered leave the default setting at 1, 2, 3. If you want Roman Numerals or another type of numbered system click on the options button and the Footnotes option dialogue box opens with the following options.
- Place At Allows you to place the footnote beneath the last paragraph on the current page of your document using Beneath Text or you can place the Footnote at the bottom of the page automatically using the Bottom of Page option.
- Number Format Allows you to choose from 6 different formats for numbering your footnotes.
- Start At Allows you to start your numbering at any level you choose.

Continuous - when carry on the numbering for all pages
Restart Each Section - will restart numbering at each section
Restart Each Page - will restart numbering on each page
- Once you have chosen your options click on the OK button and you are returned to the Footnote dialogue box. Click on OK again and you are returned to your document ready to type in the Footnote.
Depending on what view you are currently in will depend on what your screen looks like. If you are in Normal view a Footnote pane will open and you can type in your footnote next to the number and when finished click on the Close button. If you are in Page Layout View you will be placed at the bottom of the page/text depending on the option chosen in Place at. When you have finished typing in the footnote you can return to the document by using the mousing or the up arrow keys.
- You have now placed your footnote.
- When you place another footnote the numbering will be automatically updated whether you place the footnote before or after any currently in your document.
Automatic Footnote
To place a default Footnote you can use the Shortcut Commands Alt + Ctrl + F, this will bypass the dialogue boxes and put you into the Footnote section of your current view, ie Page Layout View - at the bottom of the page or text and Normal View - in the Footer pane.
Viewing Footnotes
The quickest way to view a footnote is to double click on the footnotes number/symbol in your document, this will place the cursor at the start of the Footnote in Page Layout View and into the Footnote pane in Normal view.
Going to a Footnote
You can quickly go to any footnote in a document by pressing the F5 key and selecting the Footnote option, then typing in the footnotes number and pressing the Enter key or clicking on the Go to button.
